University Auxiliary Services at Albany, Inc. (UAS), is a 501(c)(3) nonprofit corporation that invests in and provides services to enhance the educational, research, learning and living experiences of the University at Albany community.  

While UAS offices are located at UAlbany, job openings are neither New York State nor SUNY positions. UAS is an independent nonprofit corporation, so neither State nor University benefits and pay scales apply.

Contracted Operations Manager

Unique on-campus opportunity for someone with experience in campus, hospitality or facilities services. Responsibilities include monitoring of program standards and compliance of the laundry, vending, dining and other services provided by contracted third party vendors. 

Starting annual salary: $58,500 to $76,050

Minimum qualifications include an associate’s degree (lesser degree may be substituted with relevant experience in food service management or quality assurance field), two or more years of operations at a supervisory or management level with relevant inventory, inspection, and/or data experience and experience in Microsoft Office applications, specifically Excel, Word and Outlook. 

Candidate must be eligible to work in the US and have a valid driver’s license and the ability to travel efficiently between multiple locations.


Job Title: Contracted Operations Manager

Department: Operations & Contracted Services

FLSA Status: Exempt Administrative

Immediate Supervisor: Director of Operations & Contracted Services

Position Status: Full Time

Job Summary:

Under the supervision of the Director of Operations & Contracted Services, the Contracted Operations Manager provides support for the UAS contracted services on campus. Responsibilities include monitoring of program standards and compliance of the laundry, vending, dining and other services provided by contracted third party vendors. 

This position ensures that contract standards are maintained especially as it relates to quality and safety, coordinates service and repairs, completes data analysis and report reconciliations. 

In addition, this position works closely with the ID Card Office occasionally assisting with point-of-sale and door access field work and supports the Director of Operations & Contract Services by assisting with equipment, facilities, sustainability, renovation and construction projects and other functions as required.

Supervisory Responsibilities: Occasional student supervision but no direct reports

Primary Responsibilities: 

  • Monitor UAS contracted services including but not limited to laundry, vending, pest control, composting, grease trap maintenance, janitorial, rentals, student storage, dining, and foliage.
    • Schedule and monitor internal systems, reviews and training. 
    • Report issues, take action and follow up as required, engaging vendor partners and the University as appropriate.
    • Ensure dining operational compliance, physical safety, equipment maintenance, facility maintenance and customer service levels as assigned.
    • Assist with oversight of UAS owned assets (inventory, maintenance & repair, replacement). 
  • Schedule, coordinate the following, as assigned (list may not be all inclusive):
    • Compost pickup schedules 
    • Grease trap services
    • Hood cleaning/inspection schedule
    • Microwave/fridge pickups and drop offs 
    • Moving/storage pickups and drop offs
    • Vending bank cleaning
    • Special Events that may occur outside of normal business hours
  • Assist with reporting, auditing, benchmarking and other general documentation as assigned (list is not all inclusive):
    • Participation, sales and services
    • Trends and service level opportunities for contract services 
    • Comparison of competitive vendor pricing
    • Develop and implement operational standards, policies, procedures, and audits
  • Support the University by completing assignments including but not limited to:
    • Collect data on food purchases and waste diversion  
    • Assist with oversight of food donation, food recovery and recycling programs 
    • Organize and conduct engagement activities with the dining services team and the University related to sustainability and environmental improvement initiatives
  • Exercise discretion and independent judgment when engaging contract partners, UAlbany and UAS Departments
    • Is present to provide support during special events
    • Assist with UAS owned Foodservice Equipment 
    • Assist the ID Card Office with point-of-sale assets and door access devices 
    •  Support UAS by performing other tasks and functions as needed

Technical Skills:

  • Maintains current knowledge of software used to report transactions and analyze data for contract compliance (i.e. CSGold Reporting and contract partner interfaces)
  • Maintains current knowledge of software used to manage office processes
  • Maintains required knowledge of software and hardware related to campus POS and door readers
  • Stays abreast of new developments and regulations related to project management, inventory management and customer trends
  • Maintains advanced working knowledge of spreadsheet software, including the ability to customize spreadsheets for the purpose of analyzing, reviewing and presenting information 
  • Maintains current knowledge of University regulations and protocols that impact or are impacted by contracts

Customer Service Responsibilities: 

  • Acts as liaison to contract partners, University departments and UAS departments for matters related to daily operations, transactions and services as assigned.
  • Addresses customer concerns, appropriately forwarding cases to UAS directors if needed and provides follow up to ensure resolution
  • Recognizes customer service challenges and appropriately communicates concerns, assisting to find solutions and collaboratively implement changes
  • Assists to coordinate contractor and auditor parking, ID Card, and building access
  • Assists with troubleshooting POS and door readers in the field
  • Assists to coordinate, plan and oversee UAS supported special events and services as assigned
  • Assists in coordinating assigned contract operations and activities with contract partners and University departments and UAS departments.

Communication Skills:

  • Communicates effectively on a non-verbal level, dressing appropriately for professional work and events, maintaining eye-contact and appropriate posture
  • Listens effectively and seeks to understand.  Demonstrates the ability to start conversations, ask relevant questions, obtain information, shows interest in others, seeks support and/or agreement, and tests understanding before providing input, feedback and/or solutions.

  • Writes effectively, using proper grammar, punctuation, spelling, sequencing and detail for informal and formal communications such as project notes, emails, timelines procedures, instructional materials, diagrams, graphs, spreadsheets, and tables. 
  • Collaborates effectively with all contract partners, UAlbany departments and UAS departments
  • Continually seeks opportunities to develop strong interpersonal skills and communication skills

Physical and Other Requirements:

  • Occasional lifting of up to 50 pounds
  • Extended periods of walking and standing
  • Extended periods of computer use
  • Ability to work a flexible schedule (occasional early mornings, late nights, weekends minor holidays)
  • Must have a valid driver’s license and the ability to travel efficiently between multiple locations
  • This is an in-person position; attendance is essential

  • Serve Safe Certification
