What is the Facilities Service Request Portal, and how does it differ from submitting a Customer Service Request to the AiM Work Management system?

The portal is more user-friendly and mobile-friendly compared to using the AiM Customer Request Module to request services from Facilities Management. When you click on a tile, you will be asked specific questions relative to the type of work you are requesting and where the work will be taking place. The answers you provide will build a detailed work order that helps Facilities Management provide you with more efficient service. Also, all active Faculty and staff can log in via single sign on. Individuals no longer need to request an account to submit a customer service request.

How do I identify my Department and Organization?

In many cases, you can just start typing in the name of your department and it will automatically pop up. A reference list is available here: https://www.albany.edu/office-facilities-management. If you need assistance identifying your department/organization, please contact Stacy Stern.

How do I identify the area where work is needed?

First, select the Facility (Campus), followed by the Building, Floor, then Room. You can start typing in the fields to identify what you are looking for, or you can scroll down the lists.

How do I request work for multiple locations?

If you are having a large event that will take place in multiple locations, select the primary room (e.g., Campus Center Ballroom or ETEC Training Room), and mention the other spaces in your description of the event.

What options do I have for outdoor locations?

Parking lots and outdoor Athletic & Recreation fields/courts can be selected as their own properties. If you are looking for prominent outdoor facilities such Collins Circle or the Podium Large Fountain, select the property GROUNDS and you will find a list of those spaces.

How do I request work for a campus roadway, greenspace, or sidewalk?

You can request work for outdoor areas that are not otherwise named by selecting the following options:

Will I receive a notification that my request has been successfully submitted?

Yes – you will receive an e-mail when your request is submitted, and another e-mail when a Work Order number has been assigned. You can manage the notifications you receive in your User Profile Notification settings in ReADY.

Who can I contact for an update on my request status?

Please call the Facilities Maintenance Operations Center at 518-442-3480 if you have questions about your work request.

What should I do in case of an emergency?

In the event of an emergency or urgent situation, call the Facilities Maintenance Operations Center immediately, as well as 911 when appropriate.

As a residential student, how do I submit a work request for my dorm room or apartment?

Please contact your Quad Office and the staff member on duty will submit a work request on your behalf.

What should I do if the type of work I need isn’t listed on the tiles?

Please call the Facilities Maintenance Operations Center at 518-442-3480 and they will assist you.
